Position Summary
The Staff Supervisor plays a critical role in supporting the daily operations and long-term success of the Adult Day Program (including Bathing Program, if applicable). This position requires strong interpersonal skills, emotional intelligence, adaptability, and a commitment to fostering a positive and productive work environment. The ADS Staff Supervisor is responsible for leading the team with empathy and accountability while supporting staff development and ensuring high-quality service delivery.
Duties and Responsibilities
Program Oversight and Daily Operations
- Monitors daily schedules to ensure appropriate levels of service and staffing.
- Reviews activities and documents observations to maintain consistent, appropriate client engagement.
- Coordinates staff involvement in outings, theme days, and special events, ensuring alignment with program goals.
- Oversees food, shopping, menu planning, and meal service to meet client needs and dietary requirements.
- Regularly reports to the Site Operations Manager (SOM) on program operations, client outcomes, and staff performance.
- Plans & leads meetings to provide feedback to staff and keep them informed about client status and care needs.
Health, Wellness, Compliance & Safety
- Oversees client health monitoring, ensuring protocols are followed and medication administration is accurate.
- Supports staff in implementing client care plans, ensuring adherence to health and wellness protocols.
- Promotes and monitors the implementation of Dementiability and Gentle Persuasive Approach (GPA) principles in client care.
- Ensures adherence to ASP policies, procedures, and safe work practices. Provides training as necessary.
- Ensures staff maintain complete and accurate client files, addressing errors and omissions promptly.
- Provides the SOM with updates on adherence to safety protocols and regulatory compliance, including any incidents or near-misses.
Staff Supervision, Training, and Development
- Actively supervises staff, providing real-time coaching, mentoring, and feedback to support staff development.
- Observes staff performance throughout the day and provides constructive, supportive, in-the-moment feedback to enhance client care and staff performance.
- Prepares documentation and conducts performance evaluations, identifying strengths and areas for growth.
- Collaborates with HR, SOM and the Staff Scheduler on hiring, onboarding and orientating of new staff.
- Plans and conducts regular individual staff feedback sessions, addressing any performance concerns. Uses professional judgement in deciding when to escalate performance issues to SOM and / or HR.
- Facilitates training and orientation on policies, procedures, and site-specific processes for new staff.
- Provides opportunities for supplementary or third-party training to enhance staff knowledge and skills.
Program Development and Evaluation
- Develops program templates and resources for future use and implementation.
- Recommends and implements program changes to support continuous improvement and alignment with organizational philosophy.
- Coordinates staff participation in developing new activities and refining existing program offerings.
Documentation, Reporting, & Problem Solving
- Prepares and submits required reports and documentation to the SOM, ensuring accuracy and timeliness.
- Manages petty cash responsibly, ensuring accurate tracking, reconciliation, and documentation compliance.
- Leads response efforts during emergencies, providing solutions to operational and client-related challenges.
Work Environment & On-Site Requirements
On-site presence is required for at least four (4) days per week. 70% of each day will be dedicated to supervising, coaching, and mentoring staff, and 30% allocated to administrative responsibilities.
Required Qualifications
Education
- Minimum of one (1) year of post-secondary education, preferably in healthcare, business, or other relevant social service disciplines.
Related Work Experience
- Minimum of two (2) years in a direct care role within a healthcare setting.
- Minimum of two (2) years in a supervisory role or leadership role.
- Minimum of two (2) years in dementia care.
Languages
- Strongly proficient in English, both oral and written.
- Proficiency in another language (ie: written and / or spoken) is highly regarded but not required.
